Privacy Policy
How Utmost Bookkeeping LLC, doing business as Utmost Financial, handles information collected through this website and in the course of providing services.
Effective September 7, 2026
This policy explains what information Utmost Bookkeeping LLC, doing business as Utmost Financial ("Utmost Financial", "we", "us"), collects when you visit utmostfinancial.biz or contact us, why we collect it, how long we keep it, and the choices you have. It applies to this website and to the inquiry, booking and client communications that flow from it.
Who We Are
Utmost Bookkeeping LLC is an Ohio limited liability company operating as Utmost Financial, a bookkeeping and fractional CFO practice based in Chillicothe, Ohio. We are the party responsible for the information described in this policy. You can reach us at cole@utmostfinancial.biz or (740) 652-6224.
Information We Collect
Information You Give Us
When you submit the contact form, request a consultation, email us or call us, we collect what you choose to provide. That typically includes your name, business name, email address, telephone number, your preferred way of being contacted, how you heard about the firm, and whatever you tell us about your situation in the message field.
Information Collected Automatically
Like most websites, this site's hosting and analytics infrastructure records limited technical information when a page is served: IP address, browser type and version, device type, operating system, the pages viewed, the time of the visit, and the referring page or search that brought you here. This information is used in aggregate to understand how the site is used and to keep it working correctly.
Client Records
If you become a client, we necessarily handle financial records belonging to you and your business, such as bank and credit card transaction data, invoices, receipts, vendor and contractor details, and the accounting file itself. Those records are handled under the engagement agreement between us and are used only to perform the agreed services.
How We Use Information
- To answer your inquiry and arrange or confirm a consultation.
- To provide, manage and support the services you have engaged us for.
- To send service communications relating to your work, such as reporting packages, questions about a transaction, or scheduling.
- To keep records that we are required to keep as a business, including for accounting and dispute-resolution purposes.
- To maintain, secure and improve this website.
We do not sell your information, we do not rent it, and we do not share it with advertisers.
Cookies And Similar Technologies
This site may use cookies and similar storage for two purposes: keeping the site working as you move between pages, and measuring aggregate traffic through a website analytics service. Analytics cookies tell us which pages are visited and how visitors arrive; they are not used to build an advertising profile of you.
You can refuse or delete cookies through your browser settings. Most browsers let you block cookies entirely or remove those already stored. Blocking them will not stop you from reading this site, though some conveniences may not behave as expected.
Third Parties Who Process Information For Us
We use a small number of outside providers to run the practice, and some of them necessarily handle information on our behalf. These include our website host, our email provider, our scheduling tool, our website analytics provider, and the accounting platform in which client work is performed. Each is engaged to provide a service to us and is not permitted to use your information for its own marketing.
We may also disclose information where we are legally required to do so, where it is necessary to establish or defend a legal claim, or where you have asked us to share it with someone such as your lender or your own tax preparer.
How Long We Keep It
Inquiries that do not become engagements are kept for up to twenty-four months so that we can pick up a conversation where it left off, and are then deleted. Client records are retained for the duration of the engagement and afterwards for the period required by applicable professional and legal record-keeping obligations. Aggregate analytics data is retained on the schedule set by the analytics provider.
How We Protect It
Access to client files is limited to the owner of the practice. Accounts used to hold or transmit client information are protected by strong, unique credentials and multi-factor authentication where the provider supports it. Documents are exchanged through the accounting platform or secure email rather than by unprotected file sharing. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security, but we take these measures seriously and review them.
Your Choices And Rights
- Access. You can ask what personal information we hold about you.
- Correction. You can ask us to correct information that is wrong or out of date.
- Deletion. You can ask us to delete information, subject to records we are required to retain.
- Communication preferences. You can ask us to stop sending non-essential messages at any time.
To make any of these requests, email cole@utmostfinancial.biz with the subject line "Privacy request". We will respond within thirty days and may ask you to confirm your identity before acting on a request.
Children
This website and the services described on it are directed to businesses and to adults. We do not knowingly collect personal information from children under thirteen. If you believe a child has provided us with information, contact us and we will delete it.
Links To Other Sites
This site links to social media profiles and may link to other outside resources. Once you leave utmostfinancial.biz, the privacy practices of the destination apply, not ours. We suggest reading the policy of any site that asks you for information.
Changes To This Policy
If this policy changes, the revised version will be posted on this page with a new effective date. Material changes affecting existing clients will also be communicated directly.
