The Shape Of The File
Chart of accounts, products and services, classes or locations if the business needs them, and the settings that control how everything posts.
Home/Services/Bookkeeping/Accounting Software Setup And Management
Settings, users, feeds, rules and recurring entries configured around how your business actually runs, then kept in shape as the business changes.
Almost every reporting problem we are asked to solve traces back to a setup decision nobody thought was important at the time. A default account left in place, a feed connected to the wrong ledger, a rule written for one vendor that quietly catches four others.
Setting the file up properly is unglamorous and it decides everything downstream. We work in QuickBooks Online, and Cole is a QuickBooks ProAdvisor, so the setup, the maintenance and the training all come from the same place.

Bank feeds, card feeds, receipt capture and document storage, so the raw material arrives without anyone retyping it.
Saved reports, the ones you will actually open, set up once so you are not rebuilding the same view every month.
A file set up correctly in January drifts by October if nobody is watching. New vendors appear, a bank changes its feed, someone adds an account to solve a one-off problem and never removes it, and the reports slowly stop reconciling with what you know about the business.
Ongoing management means somebody notices. Accounts get reviewed rather than accumulated, rules get corrected when they start catching the wrong things, and the structure keeps matching the business rather than the business you had two years ago.
Taking over an existing file is a different job from starting a new one, and it is more common. We review what is there, work out which decisions were deliberate and which were accidents, and correct the ones that are costing you accuracy.
Where the history is badly miscoded, that is a cleanup, and we scope it separately so you can see what you are paying for and decide how far back it is worth going.

The first conversation is about your business and where it stands, not a pitch.
