QuickBooks Cleanup

What is a QuickBooks cleanup?

A cleanup is a one-off project that brings an existing QuickBooks Online file back to a state you can trust. That usually means reconciling accounts to the bank, correcting miscategorized and duplicated transactions, fixing opening balances, and closing the periods that were left open behind you.

It ends when the file agrees with the statements and the reports it produces are ones you could hand to a lender or a tax preparer without apologizing for them.

How is cleanup different from ongoing bookkeeping?

Cleanup looks backwards and has an end date. Ongoing bookkeeping looks forward and has a rhythm. Most owners need the first before the second is worth paying for — there is no point closing this month neatly on top of two years that do not add up.

How is the scope determined?

By looking at the actual file. The number of months behind, the number of bank and credit-card accounts, monthly transaction volume, whether opening balances are reliable, and whether payroll, inventory or financing accounts are involved all move the work.

Ongoing Bookkeeping

What does monthly bookkeeping include?

Transactions coded to a chart of accounts that was built for your business, bank and credit-card accounts reconciled, and a monthly financial statement package that agrees with the bank. Statements are written to be read, not filed.

Do you file my taxes?

No. Utmost Financial is a bookkeeping and fractional CFO practice, not a tax preparation firm and not a CPA firm. What we produce is a clean, tax-ready set of books, and we coordinate with your own tax professional so the handoff is straightforward.

Do you handle payroll?

Payroll administration is not a direct Utmost Financial service. Cole holds a QuickBooks Payroll certification and the books account for payroll activity, but running payroll itself goes to a trusted referral partner.

Business Financial Clarity

What is a Business Financial Clarity engagement?

A structured look at the financial side of the business — what the reports actually say, where cash is going, which parts of the business carry the rest, and what the next decision does to all of it.

How is this different from bookkeeping or CFO support?

Bookkeeping produces the record. Clarity work reads it out loud with you. Fractional CFO support is the ongoing version, with forecasting, scenario work and a recurring meeting rhythm attached.

When does fractional CFO support start to make sense?

Usually when decisions have got large enough that guessing is expensive — hiring, pricing, financing, a second location — and the reports are already reliable enough to plan from. If the books are not trustworthy yet, that comes first.

Do you guarantee profit, growth, or savings?

No. Utmost Financial does not guarantee tax savings, investment returns, or specific financial outcomes. What is offered is accurate information, honest analysis and a straight answer.

Will you try to sell me a product?

No. We talk about your goals, your family and your values before any strategy is discussed at all. When specialized help is needed — tax, legal, insurance, credit, advisory — we refer to trusted professionals rather than overstepping our lane.

How is pricing determined?

By scope. The state of the file, the volume of activity, the number of accounts and how much analysis sits on top of the bookkeeping all move it. Figures are not published on this site, because a number quoted before anyone has looked at your books is a guess. A real one follows the first conversation rather than preceding it.

Where are services available?

Utmost Financial is based in Chillicothe, Ohio, works across twenty surrounding counties, and serves clients elsewhere entirely online. Client work happens online and by phone either way.
